1. Who we are
The BANI Upsilon Galleon app ("the Galleon") is the private members portal of Brothers Across Nigeria Int'l — Upsilon Galleon, a fraternal organisation. The portal is operated by the organisation's administration ("the Captain"). This policy explains what information the app collects, how it is used, and the choices available to you.
2. Membership-only access
The Galleon is not open for public registration. Accounts are created only for verified members of the organisation by the administrator, or through invitation links issued by the administrator. Anyone may download the app, but only enrolled brothers can sign in.
3. Information we collect
When your account is created and while you use the portal we may store: your name and chosen "deck name" (nickname), email address, phone number (optional, for SMS sign-in codes), birthday month and day (year is never stored), profile photo, biography, frigate (chapter) assignment, and office/role. We also store the content you post: news items, feed posts, chat and direct messages, comments, likes, uploaded photos, documents and generated fliers.
4. Security and sign-in data
To protect the brotherhood we record sign-in activity: IP address, approximate location derived from IP, browser/device information, and timestamps of successful and failed sign-ins. Two-factor authentication codes are delivered by email or SMS and are stored only as one-way hashes. Media downloads from the confidential gallery are logged and watermarked for leak-tracing purposes.
5. How we use your information
Your information is used solely to operate the portal: showing the member directory to fellow brothers, delivering messages and notifications, sending sign-in codes and password-reset emails, publishing the weekly digest, protecting confidential material, and investigating unauthorised access or leaks. We do not sell, rent, or share your personal information with advertisers or unrelated third parties.
6. Service providers
The portal relies on a small number of processors to function: cloud hosting and database services, an email delivery provider (for sign-in codes and digests), an SMS provider (for optional SMS codes), an AI provider (to answer questions about the organisation's rule documents and to generate fliers), and a video-conferencing provider for live meetings. Each receives only the minimum data required to perform its task.
7. Data retention
Your profile and posts are retained while your membership is active. Sign-in logs are automatically purged after 90 days. One-time sign-in codes expire within minutes and are deleted automatically. When the administrator removes a member, the account can no longer sign in; you may also ask the administrator to delete your content.
8. Your choices and rights
You may update your profile details, photo, deck name and notification preferences at any time from the Profile page. You may request a copy of your data, corrections, or deletion of your account by contacting the administrator at the address below. Nigerian members have rights under the Nigeria Data Protection Act (NDPA); we honour equivalent requests from members elsewhere.
9. Children
The Galleon is intended for adult members of the organisation. We do not knowingly collect information from anyone under 18.
10. Changes to this policy
If this policy changes materially, a notice will be posted on the portal. The "last updated" date below always reflects the current version.
